How To Manage Your Team on Your IKOL Account

Managing a growing team is a challenge to many business owners, and IKOL is the right tool for the task. In this tutorial we'll explain how you can make team management easier by adding new members, assigning roles, and duties. Check our tutorial video on YouTube by clicking below.
Adding and Assigning Roles
In order to organize your team, start by adding members and assigning roles that clearly define each individual's function. Follow these steps to set up your team:
Navigate to the Team Tab
First, select Team from your dashboard. This will open a menu, which lists all of your current team members, along with their roles, contact information, and their current status. It also includes a search bar, which lets you search members by their name or email.
Adding a New Team Member
To add a new member to your team:

Click the plus (+) button in the bottom-right corner.

Enter the new member's name and email address.

(Optionally) Add phone number, upload profile picture, or add a label if needed.

Click the green Check Mark button to complete the form and add the new member.
Assigning Roles and Permissions
Newly added team members are assigned the contractor role by default, which comes with limited permissions. However, their roles can be changed and customized at any time.
Default available roles include:

Owner – Has access to fully manage the team and oversee projects without limitations.

Manager – Can assign tasks to employees, approve their leave requests, and monitor work progress.

Employee – Has granted access to assigned tasks and collaboration tools.

Contractor – Limited access, allow only for specific tasks or projects.
To change specific member's role:

Select their profile from the Team menu.

Click Edit in the top-right corner.

Click on Roles field and pick from available options.

Click the green Check Mark button to save the changes.
Collaborating and Assigning Tasks
With your team set up, you can start assigning them to tasks, meetings, or vacations.
Managing Tasks and Workflows
From the Task tab, you can:

Add new tasks and assign them to a specific employee and/or client.

Choose between Task, Meeting, Service, or Vacation.
-
Set start and end times, add descriptions, and labels.
-
Track progress with status indicators such as Pending, In Progress, or Completed.
-
(Optionally) Add notes and attach files.
Ensure that each team member is properly delegated to a task they can handle, and has all important details listed.
Communicating with Your Team
Effective communication is one of your most significant tools for keeping excellent teamwork.
Use the built-in Chat to:

Send direct messages to individual members.
-
Share important announcements through group threads.
-
Stay connected with the IKOL mobile app, letting you contact employees working remotely.
Showcasing Your Team Online
If you're proud of the team you gathered and you'd like to show it on your business website:

Go to Website Settings.

Click Add new section button.
-
Add a Team section of your choice.
-
This will add the section to the Page sections list - click on the newly added section in that list.

Click Edit at the top of the section settings.

Slect team members to display.
-
Customize the layout by selecting details to show.
-
Click the green Check Mark button to save the changes.
